Depending on the relevant processes and requirements for the type of visa being applied for, the applicant may need to submit documents to the consular section. Additionally, all passports with visas will be returned to the applicant via courier. The courier service is provided through DHL, at no additional cost to the applicant.
Passport/Document Return to the Applicant
To receive documents back from the consulate (i.e. your passport with visa), the applicant must be registered on this site. To do so, please click on "Log In" at the top of this site. Follow the steps to select Purpose of Travel, preferred DHL delivery location, and other relevant information requested for each applicant.
Important DHL Update:
The Vancouver DHL pick up point will be closed as of August 19, 2011. If you selected the Vancouver branch and your appointment is beyond August 15th, your documents will be delivered to the Richmond branch which is the office closest to Vancouver and is easily accessible by train.

General Process Overview
If the visa application is approved and/or the Consular Section needs to return documents to the applicant, these documents will be sent using DHL. The documents will be sent – at no cost to the applicant – to the DHL branch that the applicants selected at the moment of booking the appointment (or registered for Courier Services).
Following the appointment, applicants may check this website for the status of the return of the documents and waybill number. Once the documents are ready for pickup, the applicants must bring the waybill number and official identification to the selected courier location to retrieve the documents.

To find the status of your documents you must log in to your account in our system and upon viewing the applicant summary page you will see your waybill number and the status of pickup availability. The document status information only appears once your personal documents have been returned by the Consular Section for shipment to your designated DHL location.
As the time it takes to adjudicate an applicant's case is at the sole discretion of the Consular Section, we cannot provide you any information regarding when your personal documents will be turned over to DHL.
Sending Document to the Consular Section
Under limited circumstances, an applicant may be required to send documentation to the consular section. Please only do this if the consular section has instructed you to do so, or if the process to apply clearly indicates that you must submit documentation through courier service. For an explanation of the correct application process, please log into this site, select the Purpose of Travel, and follow the steps to obtain all the information necessary to apply, and to schedule a visa interview appointment if necessary.
To submit documents, please click here and print the "CSC DHL Submit Documents Form." Insert the "Reference ID" found on the "Applicant Summary" or the "Appointment Confirmation."
The "CSC DHL Submit Documents Form" and application documents can be submitted at select DHL locations. View the select DHL locations here. Upon arrival at the DHL location a pre-paid waybill will be available.
Prior to submitting any documents via DHL, the applicant must be registered on this site. To do so, please click on "Log In" at the top of this site. Follow the steps to select Purpose of Travel, preferred DHL delivery location, and other relevant information requested for each applicant.

The following status messages will be available to assist in tracking the applicants' documents:
In Transit
The applicant’s documents have been picked up at the consular section by DHL.
Ready for Pick-up at Courier Location
The applicant's documents are available for pickup at the DHL location that was selected.
Pending Delivery to Consular Section
The applicant has submitted documentation to DHL for delivery to the consular section, and the documents are en route.
Returned to Consular Section
The applicant's documents were not picked up within 30 days of being available. Documents were returned to the consular section. Please submit an inquiry via the Contact Us option above, to inquire regarding further steps.
No Package Available for Pickup
At this time the system does not show that there are documents en route or available for pickup. Please check again at a later time.
IV Applicant Needing to Register for DHL
If you need only to register for courier service and do not need to schedule/reschedule an appointment, please review the instructions below. Click on Login on the top of the page. After you affirm that you have read the disclaimer information you will be taken to a page where you can enter your passport number, date of birth and nationality (country that issued your passport).
Once you've entered that information you will be taken to an Applicant Summary page. Please choose Schedule Appointment (you will not need to actually schedule an appointment if you've already been provided one by the NVC or KCC), and you will be able to enter in all your personal information. Select the appropriate trip purpose: Permanently Immigrate to the US (Scheduled by NVC) or Permanently Immigrate to the US (Diversity Visa. Select the consular location at which your appointment has been scheduled, and click in the box on the Affirm Eligibility for This Appointment page (again, you will not need to actually schedule an appointment). Then you will be able to select your DHL pickup location.
Once you've confirmed your DHL location by clicking submit, you may log out of the system until it is time to come back to check the status of your document for pickup after your appointment. You will then log back in using the same passport number, date of birth and nationality (country that issued your passport).
Document Delivery Service to an address within Canada
An applicant may request that his passport be delivered to an address within Canada by following the procedure below.
Step 1: Once the waybill number appears on the applicant summary, the applicant sends an e-mail to csc.deliveries@dhl.com with the following information for each applicant:
- Applicant full name (As written in the passport and visa application)
- Applicant reference id (located on the "Applicant Summary" after login in)
- Waybill number
- Daytime phone number
- Full address in Canada
- Special instructions (i.e. leave at reception, leave on 3rd floor suite 100, etc., additional contact information)
Step 2: DHL will call applicant within 2 business days to arrange payment. The costs for each passport will be:
- Same Province: $14.62 + Taxes
- National: $18.27 + Taxes
Step 3: Once the payment transaction is complete, DHL will send the documents to the address defined by the applicant on step 1.
Please Note: If the applicant declines charges or DHL cannot collect the charge, the passport will be delivered to the DHL location initially selected by the applicant at no cost.
Disclaimer:
- DHL will make two delivery attempts during regular business hours (9:00 -18:00). If the two attempts fail, DHL will send the passport back to the branch location originally selected.
- DHL will leave package with anyone who answers the door at the requested address and signs for it.
- DHL will require the signature of the package and will not leave the document at the address if nobody is there to sign for it.
- If DHL is unable to deliver the passport after two attempts, but the applicant still requires the passport to be delivered at a specific address, a new service request starting with Step 1 and new transaction payment will be required.
- Documents will be delivered within the next two (2) business days of having completed the payment
- Service fees are nonrefundable.
- This service does not provide for delivery outside of Canada.
