Passport Delivery Information

Depending on the relevant processes and requirements for the type of visa being applied for, the applicant may need to submit documents to the Consular Section. Additionally, all passports with visas will be returned to the applicant via courier service. These services in Canada are provided at no charge to applicants by Loomis Express.

If your visa is approved, the Consular Section will send your passport to the Loomis branch you selected at the time of booking your appointment. Log in to your account to retrieve your waybill number.

General Process Overview

  1. Select Loomis location and complete the scheduling of your appointment.
    • The Loomis location selected will be listed on the confirmation email sent to you after the appointment is scheduled.
  2. Attend the appointment. If the visa application is approved and/or the Consular Section needs to return documents to the applicant, these documents will be sent to the Loomis branch that you selected during the registration process.
  3. Please click here for detailed instructions on how to retrieve your waybill number. To find the status of your documents you must log in to your account in our system and upon viewing the Applicant Summary page you will see your waybill number and the status of pickup availability. The document status information only appears after your personal documents have been returned by the Consular Section to Loomis for shipment to your selected branch.

NOTE: As the time it takes to adjudicate an applicant's case is at the sole discretion of the Consular Section, we cannot provide you any information regarding when your personal documents will be turned over to Loomis.

  • Once the documents show as Ready for Pickup, applicant (s) must retrieve their documents within 30 days. Applicant(s) need to bring official identification (e.g. Driver’s License, Birth Certificate, Medical Card, etc) along with the waybill number to the courier location they selected during the registration process in order to pick up their documents.
  • If a third party is picking up the documents, the individual must provide ID as mentioned above and the waybill number of the shipment that is being picked up.

NOTE: Passports not claimed within 30 days of delivery to the selected Loomis location will be returned to the Consular Section.

The following status messages will be available to assist in tracking the applicants' documents:

  • In Transit
    • The applicant’s documents have been picked up from the Consular Section by the courier.
  • Ready for Pick-up at Courier Location
    • The applicant's documents are available for pickup at the Loomis location that was selected.
  • Delivered
    • The documents have been picked up by the applicant (or his/her representative) at the selected Loomis location.
  • No Package Available for Pickup
    • At this time the system does not show that there are documents en route or available for pickup. Please check again at a later time.

Under limited circumstances, an applicant may be required to send documentation to the Consular Section. Please only do this if the consular section has instructed you to do so!

Please follow these steps to send your documents to the Consular Section of your choice:

  1. Please click here and print the "CSC Loomis Submit Documents Form." Write down the "Reference ID" found on the "Applicant Summary" or the "Appointment Confirmation."

  2. You have to bring these documents to a Loomis location, the list of Loomis locations is provided here.
  3. Present the form given to you on step one. You will not be charged for the shipment. Make sure to include a copy of this document inside your shipment.
  4. Please remember to include all requested information and your personal details inside the envelope so the Consular Section can refer to your case.

If you are an Immigrant Visa Applicant and your appointment was booked by KCC, NVC or VSC you will need to register for courier services before attending your interview. Follow these steps in order to register:

  1. Click on "Log In" on the top right corner section of the website
  2. Provide your passport number, nationality and date of birth. Click on "Log In"
  3. This will take you to the Applicant Summary page. Click on "Register for Courier Services"
  4. Click on Canadian Citizen or Non Canadian Citizen, depending on your case
  5. Click on Immigrant Visas, Select the option entitled Permanently Immigrate to the US - Register for Courier Services Only and click on "Submit"
  6. Select Montreal Consulate and click on "Submit"
  7. Read the information and click on "Continue"
  8. Provide your personal details and click on "Submit" (If you provide your e-mail address, we will send you an e-mail message with your waybill number)
  9. OPTIONAL – Add family members, if needed, by clicking on "Add family members"
  10. Click on "Continue"
  11. Select your Loomis location and click on "Submit". Follow the prompts until you have received a confirmation on the screen.
  12. Print your Confirmation Page, you will be asked to present it before entering the consulate premises on the day of your appointment.

ATTENTION: Please allow at least 1 (one) week from the day of your interview appointment before you check the status of your documents by logging back to the website. Please do NOT contact the Consulate directly with any inquiries about your documents.

An applicant may request that his or her passport be delivered to an address within Canada by following the procedure below.

Step 1: Once the waybill number appears on the Applicant Summary, the applicant has to send an e-mail to csc@loomis-express.com and provide the following information for each applicant:

  • Applicant full name (as written in the passport and visa application)
  • Applicant reference id (located on the "Applicant Summary" after login in)
  • Waybill number
  • Daytime phone number
  • Full address in Canada (ONLY)
  • Special instructions (i.e. leave at reception, leave on 3rd floor suite 100, etc., additional contact information)

Step 2: Loomis will call applicant within 2 business days to arrange payment. The costs for each shipment will depend on whether the package needs to be shipped within the same province or it is a national shipment.

  • Same Province: $18.84 + Taxes
  • National: $20.55 + Taxes

Step 3: Once the payment transaction is complete, Loomis will send the documents to the address defined by the applicant at step 1.

NOTE: If the applicant declines charges or Loomis cannot collect the charge, the passport will be delivered to the Loomis location initially selected by the applicant at no cost.

DISCLAIMER:

  • Loomis will make two delivery attempts during regular business hours (9:00 -18:00). If the two attempts fail, Loomis will send the passport back to the branch location originally selected.
  • Loomis will leave package with anyone who answers the door at the requested address and signs for it.
  • Loomis will require the signature of the package and will not leave the document at the address if nobody is there to sign for it.
  • If Loomis is unable to deliver the passport after two attempts, but the applicant still requires the passport to be delivered at a specific address, a new service request starting with Step 1 and new transaction payment will be required.
  • Documents will be delivered within the next two (2) business days of having completed the payment
  • Service fees are nonrefundable.
  • This service does not provide for delivery outside of Canada.
